Your privacy matters to us. This policy explains what information we collect, how we use it, and the choices you have — whether you're reading the newsletter, browsing the site, or receiving letters in the post.

Information We Collect

If you subscribe to the newsletter:

• Your name
• Your email address
• Anything you volunteer through forms, surveys or replies

If you place an order or start a journey:

• Your name and email address
• Your shipping address, and your billing address if it differs
• Your phone number, when you give one for delivery
• Your order history, and for monthly members the status of the subscription — when it renews, when it's paused, when it ends
• Any notes or gift messages you add at checkout

Payment information. We never see or store your full card number. Payments are processed by Shopify and the payment providers you choose at checkout, who handle the card details directly. What reaches us is confirmation that a payment succeeded, the last four digits, and the card type.

Automatically: basic website analytics such as browser type, pages visited and referral source.

How We Use Your Information

• To make and send your letters, tea and keepsakes, and to write your address on the envelope
• To manage a monthly membership — renewals, pauses, skips and cancellations
• To email you about your own order: confirmations, shipping updates, and anything that goes wrong with a delivery
• To answer messages and handle returns or replacements
• To send newsletters, updates and editorial content, if you asked for them
• To improve the website, the letters, and how the whole thing reads

Order-related emails are not marketing, and you receive them whether or not you're subscribed to the newsletter. You can unsubscribe from the newsletter at any time without affecting them.

We do not sell your personal information.

Who We Share It With

Only the services needed to actually run this:

• Shopify — hosts the store and processes checkout
• Payment providers you select at checkout, such as Shopify Payments, PayPal, Google Pay or Venmo
• Loop Subscriptions — manages monthly memberships
• beehiiv — sends the newsletter
• Postal carriers — receive your name and address so the envelope can reach you
• Analytics and advertising platforms such as Google Analytics and Meta

Each handles data under its own privacy policy. We share the minimum each one needs, and nothing more.

Email Communications

By subscribing you consent to receive emails from The Steeped Letter Co. You may unsubscribe at any time using the link in every email.

Cookies & Analytics

Our website may use cookies and similar technologies to understand traffic, improve performance and measure advertising. These services may collect anonymous usage data under their own privacy policies. You can opt out of data sharing for targeted advertising on our Your Privacy Choices page.

Advertising

We may use Meta and other advertising platforms to promote The Steeped Letter Co. These platforms may use cookies, pixels or similar tracking to measure performance and improve targeting.

How Long We Keep It

Order and delivery records are kept as long as we need them for accounting and tax, which in most places means several years. Newsletter data is kept until you unsubscribe. If you ask us to delete your information we will, except where we're legally required to keep a record of a transaction.

Your Rights

Depending on where you live you may have the right to see the personal information we hold about you, correct it, ask us to delete it, or object to how we use it. Email hello@thesteepedletter.co and we'll help. We won't treat you differently for asking.

Data Protection

We take reasonable measures to protect your information, but no online platform can guarantee absolute security.

Third-Party Links

Our website and newsletter may link to other websites, cafés, travel destinations, brands or services. We're not responsible for the privacy practices or content of those sites.

Children's Privacy

The Steeped Letter Co. is not directed toward children under 13, and we do not knowingly collect personal information from children.
